By accessing or using SimplyExpensed (“the Service”), available at https://simplyexpensed.com, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to all of these Terms, do not use the Service.
SimplyExpensed provides an expense tracking, receipt scanning, mileage logging, and financial reporting platform for individuals and businesses. The Service includes a web application, associated APIs, and related features.
You must provide accurate, current, and complete information during registration. You are responsible for safeguarding your password and for all activities that occur under your account. You must notify us immediately of any unauthorized use of your account.
SimplyExpensed offers free and paid subscription tiers. Paid subscriptions are billed through Stripe. By subscribing to a paid plan, you authorize us to charge your payment method on a recurring basis. You may cancel at any time; cancellation takes effect at the end of the current billing period. Refunds are handled in accordance with our refund policy and applicable law.

The Service, its design, logos, and all related content are the intellectual property of SimplyExpensed. You retain ownership of any data you upload. By using the Service, you grant us a limited license to process, store, and display your data solely to provide the Service to you.
The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including but not limited to merchantability, fitness for a particular purpose, or non-infringement. SimplyExpensed does not guarantee that the Service will be uninterrupted, error-free, or completely secure.
To the maximum extent permitted by applicable law, SimplyExpensed shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or goodwill, arising out of or in connection with your use of the Service. Our total liability shall not exceed the amounts paid by you in the twelve (12) months preceding the claim.
SimplyExpensed is not a tax advisor, accountant, or financial institution. The Service provides tools for tracking and organizing expenses and mileage. IRS mileage rates, tax categories, and deduction information are provided for convenience only and should not be considered professional tax or legal advice. Always consult a qualified tax professional for advice specific to your situation.
You may deactivate your account at any time through your account settings. Deactivation immediately suspends your access and cancels any active paid subscription. However, your data — including expenses, mileage logs, receipts, and financial records — is retained for seven (7) years from the date of deactivation in compliance with IRS record-keeping requirements (26 CFR § 1.6001-1). You may reactivate your account at any time during this retention period by logging in and confirming reactivation. After the 7-year retention period, your data may be permanently deleted.
We may also suspend or terminate your access to the Service at any time for violations of these Terms. You may request a copy of your data at any time by contacting us at [email protected].
We may update these Terms from time to time. When we make material changes, we will notify you by updating the version number and effective date, and may require you to re-accept the updated Terms. Continued use of the Service after changes constitutes acceptance of the revised Terms.
These Terms shall be governed by and construed in accordance with the laws of the State of Indiana, United States, without regard to its conflict of law provisions.
